Privacy Notice

How the Sold Out Board handles your details. Last updated: 17 July 2026.

Who we are

The Sold Out Board (soldoutboard.com) is run by West End Lottery Ltd (“WEL”, “we”), company no. 17241602, registered with the UK Information Commissioner’s Office (reg. ZC169928). We collect and look after the details described here, and we are the data controller for them. You can reach us at hello@westendlottery.com.

What this covers

This notice covers the Sold Out Board and everything we run alongside it:

It applies whenever you give us your details for any of these, or when you get in touch with us, and wherever you did it — on this site, or on a lottery or waiting list page we run for a show.

It does not cover the shows, venues or ticketing sites we link to, which have their own privacy notices.

What we collect

The dates and genres are optional. They only help us send you draws you might actually want, rather than all of them.

Cookies

We don’t use cookies. We count visits to the board so we know how many people are using it, but that’s done without cookies and without identifying you or storing anything on your device.

Why we use it

To run the lotteries and waiting lists you’ve signed up for: to tell you when there’s a draw worth entering, to enter you, and to let you know if you’ve won or got a place. If you win, we use your name to put the tickets in it.

To send you the right ones. The dates and genres you gave us are how we decide what to send you, so you get the draws that suit you rather than every draw we run.

To send you show recommendations, but only if you asked for them. That’s the second, optional tick on the form. If you didn’t tick it, you’ll only ever hear from us about draws.

Our lawful basis

For the lotteries and the waiting lists, it’s your consent: you ticked a box to be emailed, and you can change your mind whenever you like.

For show recommendations, it’s your consent too — a separate, optional tick. The two are kept apart: ticking the first doesn’t sign you up for the second.

For replying when you write to us, it’s our legitimate interest in running the board properly and answering the people who use it.

We don’t use your details for anything else. We don’t sell them, and we don’t make automated decisions about you.

Who sees it

We do not hand your email address to venues or producers. Where we run a draw for a show, we email you ourselves on that show’s behalf. If you win, we pass your name to the venue’s box office so they can recognise you when you claim your tickets, and nothing more.

We use a small number of service providers to run the board, store the signup list, handle messages and send email. They act on our instructions and cannot use your details for their own purposes.

Where your details are held

Some of our service providers are based outside the UK, so your details may be transferred abroad. Where that happens, we only use providers that are covered by UK-approved safeguards — either a UK adequacy decision, or standard contractual terms such as the UK International Data Transfer Agreement.

How long we keep it

We keep your details until you unsubscribe or ask us to delete them, or until they are no longer needed for the purpose above, whichever comes first.

Your rights

You can withdraw consent at any time, and every email includes a one-click unsubscribe. You also have the right to ask for a copy of your data, to correct it, or to have it deleted. To do any of these, email hello@westendlottery.com. If you’re unhappy with how we’ve handled your data, you can complain to the ICO (ico.org.uk).
